Who we are

Lumen Coaching Ltd, trading as Lumen Leadership Advisory, is the data controller for the personal information described in this notice.

What we collect

If you contact us through this website or by email, we collect your name, email address, and whatever you choose to tell us about your situation.

If you become a client, we hold engagement records: contracting details, session dates, invoicing information, and notes taken during or after sessions. Where an organisation is paying for your coaching, we also hold the contracting contact’s details.

Where coaching conversations include sensitive personal information, this is processed with your explicit consent and handled with strict confidentiality.

This website does not use third-party advertising trackers or profiling of any kind.

Why we hold it, and on what basis

To respond to enquiries and decide whether we are a fit. Basis: legitimate interests.

To deliver and administer coaching and advisory engagements. Basis: performance of a contract.

To meet accounting, tax and professional obligations. Basis: legal obligation.

Where special category information arises within coaching, we rely on your explicit consent, given as part of contracting.

Coaching confidentiality

Coaching is confidential. Where an organisation sponsors the work, we agree at the outset what is shared with them, which is normally attendance and progress against agreed objectives rather than the content of sessions. Nothing you say in a session is reported to your employer without your knowledge.

The exception, which is standard across the profession, is where there is a serious risk of harm to you or another person, or where we are required to disclose by law. We also discuss our work in coaching supervision, which is itself confidential and anonymised.

How we protect it

Security measures in place include full-disk encryption on all devices used for client work, two-factor authentication on all primary accounts, automatic software updates across all devices, access to client data restricted solely to the sole practitioner, and logically segregated folder structures within Google Drive, organised per client.

Who else processes your information

We use a small number of established providers to run the practice. Each acts on our instructions under a data processing agreement: Google Workspace, for email, documents and calendar; Granola, for transcribing and taking notes during calls and sessions; Anthropic, whose Claude tool we use to help draft session and meeting notes; Squarespace, which hosts this website and delivers contact form submissions; and QuickBooks, for accounting and invoicing.

Some of these providers are based outside the UK. Where information is transferred internationally, it is protected by the safeguards their agreements provide, such as the UK addendum to the EU Standard Contractual Clauses.

We do not sell personal information and we do not share it for marketing.

Cookies

This website uses the cookies necessary for it to run, together with Squarespace’s own first-party analytics, which helps us understand how the site is used. We do not use third-party advertising or tracking cookies.

How long we keep it

Enquiries that do not lead to work are deleted within twelve months. Client engagement records, including invoices and session notes, are kept for six years after the engagement ends, in line with standard accounting record requirements, and then destroyed.

Your rights

Under UK data protection law you have the right to ask for a copy of the information we hold about you, to have it corrected, to have it deleted, to restrict or object to how we use it, and to receive it in a portable form. You can also withdraw consent where consent is the basis we rely on.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would prefer the chance to put it right first.
